What does this role entail?
  • Preparing the DTH1 welcome talk, booklet and packs
  • Please note that you will be responsible for the DTH1s until they elect Year 1 representatives in November 2021
  • Helping with DTH1 freshers events
  • Setting up dental families 
  • Organising year group socials and extracurricular lectures
  • Helping to promote DentSoc events and sending other relevant DentSoc resources/messages on WhatsApp Year chats
  • Helping to run DentSoc events 
  • Attending monthly committee meetings and providing student feedback to the Society 
  • Answering students’ questions/queries

2 YEAR REPS

2 YEAR REPS

What does this role entail?
  • Preparing the BDS1 welcome talk, booklet and packs
  • Please note that you will be responsible for the BDS1s until they elect Year 1 representatives in November 2021
  • Helping with BDS1 freshers events

  • Organising year group socials and extracurricular lectures

What does this role entail?

SECRETARY
What does this role entail?
  • Overseeing the Dental Society email account and sending/referring emails to relevant student, staff, committee members and external agencies  
  • Organising room bookings for all Dental Society meetings and lecture room bookings for Dental Society events
  • Organising meeting dates, committee deadlines & updating the committee on issues (e.g by writing up and publishing the agenda and minutes for each meeting)
  • Chairing the monthly committee meetings (with the President)

An ideal Secretary should be:
  • Observant
  • Organised
  • Confident 


2 EVENT OFFICERS
What does this role entail?
  • Organising the major inter-year events that DentSoc hold: Boat Party, Pulp Crawl and T-shirt night (in collaboration with Barts). Representatives are responsible for everything including booking the venue, hiring a DJ and arranging the promo and tickets. 
  • Attending monthly committee meetings 

An ideal year representative should be:

BDSA/EDSA REP
(2 year role: first year as junior, second as senior)
What does this role entail? 
  • Representing KCL Dental Society, FoDOCS and King’s at various national (BDA & BDSA) and European (EDSA) meetings and general assemblies. You have the opportunity to represent the British and European Dental Student Associations at various meetings, roundtable discussions, projects and influence UK and EU policy. Additionally, you can apply to sit on the respective association’s Executive Committees.
  • Attending and promoting the BDSA and EDSA events, including but not limited to the Sports Day and the Conference
  • Organising “Charity Week” at King’s
  • Attending monthly DentSoc committee meetings 
Note that this position is for a two year term: first year as junior BDSA secretary, second as senior BDSA secretary  

An ideal BDSA representative should be:

BALL SECRETARY

(2 year role: first year as junior, second as senior)
What does this role entail?
  • Junior - Organising the Halfway Ball. 
  • Senior - Organising the Graduation Ball.
  • Liaising with venues and various vendors (entertainment, catering, drinks etc) to negotiate the best prices and collecting feedback from students regarding what they would like to see at the balls
  • Attending monthly committee meetings 
  • Note that this position is for a two year term: first year as junior ball secretary, second as senior ball secretary.   

An ideal Ball Secretary should be:

WEB & DESIGN OFFICER
What does this role entail?
  • Maintaining and keeping the KCL Dental Society Website updated 
  • Making posters for DentSoc events
  • Taking photographs for DentSoc events
  • Working in collaboration with the Social Media Manager to create content 
  • Attending monthly committee meetings 

A Web and Media Officer must be:
  • Proficient in IT/graphic design
  • Organised 
  • Committed 

SOCIAL MEDIA MANAGER 
What does this role entail?
  • Engaging online users with content and growing the Society’s social media presence 
  • Maintaining the Society’s two Instagram accounts (@kcldentalsociety @kcldentalsociety_xtra) and creating stories
  • Maintaining the Society’s Facebook page 
  • Maintaining the Society’s Facebook Year group private pages 
  • Maintaining the Society’s Twitter account
  • Working in collaboration with the Web and Media Officer to create content 
  • Liaising with event officers and other committee members on the promotion of upcoming events 
  • Attending monthly committee meetings
 
An ideal Social Media Manager should be:
  • Knowledgeable regarding social media management

GPEP REP
(must be a GPEP)

What does this role entail?
  • Preparing the GPEP welcome talk, booklet and packs
  • Organising GPEP group socials and providing relevant academic resources
  • Attending monthly committee meetings and providing GPEP students’ feedback to the Society 
 
An ideal GPEP representative should be:

DPMG REP
(must be a DPMG)

What does this role entail?
  • Preparing the DPMG welcome talk, booklet and packs
  • Organising DPMG group socials and providing relevant academic resources
  • Attending monthly committee meetings and providing DPMG’s students’ feedback to the Society 
 
An ideal DPMG representative should be:

INTERNATIONAL REP
(must be an international student)

What does this role entail?
  • Organising international student socials and aiding integration of international students into the general year socials
  • Facilitating partnerships with other Dental Societies worldwide & hosting prospective international students or guests from overseas Dental Institutes
  • Attending monthly committee meetings and providing International students’ feedback to the Society

SPORTS REP
What does this role entail?
  • Organising sports events for BDS1-5 to encourage students to remain active
  • Liaising with BDSA Representatives to help organise the annual BDSA Sports Weekend
  • Attending monthly committee meetings 
 
An ideal Sports representative should be:
  • Knowledgeable regarding multiple sports practices
  • Creative

​STUDENT PRESIDENT-ELECT
(elected by BDS 1-4)

What does this role entail?
  • The tasks of the President-Elect are limited: this role is more of a learning opportunity in preparation for entrance into office. These tasks include:
  • Helping to run DentSoc events 
  • Shadowing the President, Vice President, Treasurer & Secretary to aid in the running of the Society
  • Taking care of the election process. This includes advertising roles, setting election dates and the voting portal, counting votes and announcing winners
  • Attending monthly committee meetings 
  • Note that this position means you will have a three year term on the Committee, 1 year as President-Elect, leading into 1 year as President and 1 year as Past President. Therefore, please also consider the roles of the President and Past-President before applying for President-Elect. This role is elected by BDS1-4.      

An ideal President Elect should be:

  • Supporting the President in the running of the Society and providing input where needed

STUDENT TREASURER
What does this role entail?
  • Communicating with sponsors and companies looking to collaborate 
  • Making sponsorship brochures to distribute to companies with the aim of increasing sponsorship (financial and In-kind) for the Society
  • Organising the Trade Fayres and other 
  • Managing the account finances & overseeing budgeting for all events, academic & social, alongside the staff treasurer
  • Attending monthly committee meetings 
 
An ideal Treasurer should be:
  • Organised
  • Good with numbers 
  • Conscientious  

WIDENING PARTICIPATION OFFICER
What does this role entail?
  • Liaising with the Social Mobility and Student Success (SMSS) Department at King’s
  • Organising school visits to Sixth Forms for Dental Students to talk to prospective applicants 
  • Facilitating mentoring schemes between years & reaching out to non-selective state schools as part of Widening Participation
  • Attending monthly committee meetings 
 
An ideal Widening Participation Officer should be:
  • Caring 
  • Friendly
  • Proactive   
2 YEAR REPS
What does this role entail?
  • Organising year group socials and extracurricular lectures (lectures focused predominantly on the DFT application process, SJT and interviews)
  • Helping to promote DentSoc events and sending other relevant DentSoc resources/messages on WhatsApp Year chats
  • Helping to run DentSoc events 
  • Creating the yearbook in collaboration with Dental Protection and ensuring students sign up with DDU before graduation
  • Attending monthly committee meetings and providing student feedback to the Society 
  • Answering students’ questions/queries

ELECTION PROCESS

When you decide to run for a position on the DentSoc Committee, you are running to be a representative for your fellow students. Your year group(s) vote, and if you get enough votes, you’re on the committee the following year! The more votes you get the more likely you are to obtain a committee position.

CAMPAIGNING

VOTING

Monday 12th April 12pm - Wednesday 21st April 8pm
Monday 19th April 9am - Wednesday 21st April 8pm
You are allowed freedom to appropriately campaign on Whatsapp, Instagram in person, & other forms of social media.

Campaigning must only occur during campaigning and voting periods (dates above)

Permission must be obtained from individuals for their inclusion in campaign material

As a part of their campaign, Student President-Elect Candidates are also allowed 1 email to the entire dental school mailing list.

Excluding the Student President-Elect, who is voted for by BDS years 1-4, all other positions will be elected by the candidates respective year group.

Voting will be done via King's ITEL and will require KCL credentials.

A link will be sent to your year group with specific details to carry out voting.

​Please use the SPECIFIC link for your particular year group ONLY, as your votes casted in other year group links will not be counted and will only cause more disruption.

Campaigning may continue during this period.

When applying for a position please note that being on Dental Society requires all year around time and effort, attending monthly meetings is the minimum requirement, so please do assess your other commitments before nominating yourself to represent your year and student body.
